POSITION: Activities Coordinator

WeWorld is looking for one (1) Activities Coordinator for the project “MAMMIE” in Ludewa District.

Duty station:

The activities Coordinator who will based in Mlangali-Ludewa.

Position reports to: Education Project Manager and ultimately to the Country Representative

Contract Information:

Position/Contract type: Full time – National Employment Contract

Contract Duration: 12 months (including 3 months as probation period), with possibility of extension

Organisation Description

WeWorld is an Italian independent non-governmental organisation working in Development Cooperation and Humanitarian Aid projects in 29 countries worldwide, including Italy. The NGO carries out 128 projects reaching over 2.4 million direct beneficiaries and 12.3 million indirect beneficiaries. Children, women and youth, actors of change in every community, are the protagonists of WeWorld projects and campaigns in the following fields of intervention: gender equality, prevention and contrast of violence against women and children, migrations, humanitarian aid (prevention, aid and reconstruction), food security, water and sanitation, health, education and learning, socio-economic development, environmental protection, global citizenship education and international volunteering.

Project Summary

The objective is to promote inclusive and equitable quality education and lifelong learning opportunities for all (SDG 4). The strategy is based on an approach which integrates a set of activities to respond to the different needs of children and simultaneously strengthening community care structures to create better conditions for ensuring children’s wellbeing and protection. It is developed around the following priorities: i) Ensure access to safe learning environment through school facilities construction and provision of learning materials. ii) Effective community and parental awareness and participation in education programmes by strengthening the school cost-sharing system (community contribution) for the provision of school meals. iii) Improve learning outcomes and attendance of pupils in the target schools through in-service training for teachers on the three Rs and t4eaching methodologies. iv) Increase awareness on issues related to Child Protection to teachers, parents (school committee members, community members) and children (i.e. Child Rights, Child Protection Systems). v) Strengthen an effective school Management system by supporting an effective implementation of the School Quality Assurance Framework.

Key Objectives of the Position

The Activities Coordinator will be directly responsible for the overall management of the project in full compliance with the organization and the donor’s procedures, including planning, implementation and monitoring of the activities. S/he will be directly assigned to the supervision of all logistics, financial, human and operational resources dedicated to the project in close collaboration with and under the direct supervision of the Project Manager and the Finance team. S/he will report to the Project Manager and maintain effective relations and coordination with all project stakeholders at regional level.

Key Responsibilities

Under the supervision of the Project Manager, the Activities Coordinator acts as project focal point for WeWorld’s activities and ensure excellence in implementation of the project activities in terms of impact, reporting, and timeliness.  Areas of focus will include the following:

Project Management, Monitoring and Reporting

  • Plan and implement the project activities in compliance with the project design and timetable.
  • Planning, implementation and supervision of the beneficiary selection process, baseline and endline surveys, training sessions, meetings, awareness events, material distribution and all the other project activities.
  • Ensure that all project documents are available in both soft and hard copies (attendance sheets, payment sheets MoU, Minutes of meetings, contracts and agreements, activity reports, etc.).
  • Support the development of workplans and ensure effective coordination, timely and quality implementation and monitoring of project activities to meet deliverables in accordance with standards, timelines, and budget.
  • Support management and accountability through routine, accurate collection, and reporting of information on project progress and achievements.
  • Support the preparation of reports to stakeholders including local government authorities, and registrar reports.
  • Conduct data collection and Need Assessment when requested by the Project Manager or Country Representative.
  • Work with the Monitoring, Evaluation, Accountability and Learning (MEAL) officer for monitoring and evaluation of programme activities including taking corrective action where necessary.
  • Establish and strengthening strong collaborative relationships with schools and communities.
  • In collaboration with project assistant, implement project activities respecting the approved chronogram in a timely, efficient and effective manner.
  • Contribute to the systematization of good practices and lessons learnt.
  • Coordinating with local officials to obtain permits for construction projects, MoU, and ToRs.
  • Serve as the liaison between the school district and the education project, ensuring communication and collaboration between all parties.
  • Lead the coordination among education and child protection components at school, community, and district level.
  • Prepare Activity ToRs and reports on the termly base to be approved by the Project Manager.

Long Distance Sponsorship program

  • Oversee LDSP activities in schools.
  • Follow up LDSP request submitted by HQ.
  • Supervise assistant staff and volunteers on LDSP manuals and procedures.

Networking and Coordination

  • Build strategic networks with local communities, CSOs and Local Authorities at island level.
  • Ensure coordination of the project activities with all relevant stakeholders at districts and at the regional level.
  • Ensure project update and submission of reports to the Local Authorities, in line with the government procedures.
  • Represent We World in stakeholder’s meetings whenever necessary.
  • Ensure WeWorld visibility in all the relevant meetings, conference, activities to be attended.

Administration and Logistic support

  • Coordinate all aspects of finance, administrative, and logistics management of the activities at project level, ensuring knowledge and adherence to operational plans, donor requirements and We World procedures.
  • Prepare and submit monthly financial plan to be approved by the Project Manager.
  • Prepare and submit payment authorizations and receipts.

As job descriptions cannot be exhaustive, the Activities Coordinator may be required to undertake other duties that are broadly in line with the above key responsibilities.

Qualifications, Skills and Experience

  • Bachelor in a relevant discipline e.g. related to development studies, education,..
  • Excellent communication (writing and oral) skills and reporting skills in English
  • Computer skills, in particular MS Office, web and social media skills
  • Proven leadership skills and excellent social/networking skills, ability to engage with government, private sector and civil society
  • Proven organizational skills and ability to manage effectively multiple tasks
  • Monitoring and evaluation skills
  • Demonstrates integrity concerning NGO values and ethical standards
  • Displays cultural, gender, religion, race, nationality and age sensitivity and adaptability
  • Professional Experience: at least 3 years of experience working in a similar position with local/international organizations, government or relevant organizations in development projects

Assets/Added advantage.

  • Residence in Ludewa district or Njombe Region
  • Previous experience in education and child protection projects and community engagement approach.
  • Motorbike driving licence
