Job Purpose
The Guest Experience Agent is dedicated to creating unscripted, personalized, and memorable moments for guests at the Lodge. Reporting to the Assistant Guest Experience Manager, this role reviews guest profiles, prepares pre-arrival itineraries, coordinates VIP amenities, conducts courtesy check-ins, tracks guest preferences in Opera and KEY systems, and collaborates across lodge departments to deliver service excellence.

Key Responsibilities & Accountabilities

  • Guest Recognition & Personalization:

    • Review arriving guest profiles, reservation details, and special preferences in OperaGolden, and KEY platforms prior to arrival.

    • Coordinate personalized amenities, room setups, itineraries, and special touches for VIPs, Elite members, and returning guests.

    • Lead pre-arrival preparations and run daily pre-arrival briefings in the absence of the Guest Experience Manager.

  • Guest Engagement & Service Recovery:

    • Deliver warm, personalized service to all guests, conducting courtesy check-ins and mid-stay follow-ups.

    • Welcome arriving VIP guests, assist with room orientations, luggage coordination, and special activity bookings.

    • Handle guest requests, concerns, and glitches with empathy, urgency, and professional problem-solving, recording feedback in Golden systems.

  • Inter-Departmental Coordination & Administration:

    • Liaise closely with Front Office, Housekeeping, Villa Butlers, F&B, Engineering, Spa, and external safari operators to ensure seamless execution of guest requests.

    • Conduct pre-arrival room and villa readiness checks for special guest arrivals.

    • Maintain up-to-date guest preference records, trace updates, and administrative reports across hotel management systems.

Candidate Qualifications & Experience
  • Education: Diploma or Bachelor’s Degree in Hospitality Management, Tourism, or a related discipline.

  • Work Experience: Minimum 2 to 3 years of luxury hospitality experience, with at least 1 year in a senior guest services, front office, or supervisory role. Guest Experience Agent at Four Seasons

  • Property Exposure: Prior experience in a Forbes Five-Star property, luxury resort, or high-end safari lodge environment is a distinct advantage.

  • Technical Proficiency: Knowledge of hotel management software (OperaGoldenKEY, or equivalent PMS/CRM systems).

  • Core Competencies: High emotional intelligence, cultural awareness, exceptional communication skills, strong attention to detail, and a genuine passion for luxury service.

Key Performance Indicators (KPIs)
  • Guest satisfaction metrics and Qualtrics survey feedback scores.

  • Accuracy and completeness of guest preference profiles in Opera/Golden systems.

  • Seamless pre-arrival setup and execution for VIP/returning guests.

  • Timely follow-up and resolution of guest requests and service glitches.
